Missed-call text-back for HVAC shops

Your ads can be perfect. If the call hits voicemail at 6:12pm and nobody texts back, the homeowner calls the next HVAC company. This is not a software essay. It’s the leak — and in the Southeast, voicemail is a driveway donation in July.

I grew an electric and HVAC shop with my own marketing spend. Real tests, not theory. How Lead Junkie got built.

Why this is the cheapest insurance on ad spend

I’m Joey Donohue. I built Lead Junkie after spending $750k of my own money on marketing while growing an HVAC and electric shop from about $2.1M to $7M. The hardest lesson wasn’t a bid strategy. It was realizing how many paid calls died in a ringtone.

You already paid for the click, the LSA lead, or the Meta conversation. Speed-to-lead decides whether that money becomes a truck on the calendar or a spreadsheet regret. Full hub: HVAC speed-to-lead.

I’m not going to invent a national “answer in X seconds” benchmark for you. I’m going to tell you what breaks shops I talk to — and what I’d fix before I let anyone scale Meta or Google.

What “fast” means in HVAC (not a helpdesk ticket)

Fast is not “we opened a ticket.” Fast is a text that says you saw the call and a human is next. Owner alert if the CSR is buried. After-hours rules so peak season nights aren’t a donation to whoever picked up first.

  • Missed call → automatic text within minutes (permissioned, short, human)
  • CSR or owner alert on the same number — don’t let it sit in a shared inbox nobody opens
  • After-hours path: on-call tech, answering service with booking rules, or honest “we’ll call at 7am” with a real callback
  • Same urgency for LSA, Google call tracking, and Meta callback requests — one leak is enough

Where the leak usually hides

Owners blame the channel. Half the time the channel delivered a real no-cool and the shop ghosted it. Pair this with HVAC SMS marketing and more HVAC service calls — SMS isn’t a blast list; it’s the bridge from missed ring to booked visit.

Leak vs fix (use your own CRM — not a vanity chart)

SymptomWhat owners assumeWhat to check first
Calls after 5pm die“Ads don’t work at night”Who gets the alert? Is text-back on?
LSA “leads” never book“LSA junk”Time to first human reply
Meta forms go cold“Facebook leads suck”Did anyone call/text within the hour?
Estimate never closed“Need more leads”Follow-up sequence after the visit

A simple missed-call text that doesn’t sound like a robot

Keep it short. Name the shop. Offer the next step. Don’t paste a novel. Don’t sell a membership in the first SMS unless that’s why they called.

  • “Hey, this is {{Shop}} — we just missed your call. Reply YES and we’ll call you right back, or text what you need (AC down, no cool, etc.).”
  • If you’re closed: “Got your call after hours. We’re on it first thing — reply with your address/ZIP and what’s going on so we can prioritize.”
  • Then a human follows. Automation opens the door; a person books the job.

Then — and only then — the ads are allowed to work

I will talk about missed-call text-back before I talk about scaling Meta or Google. If follow-up is broken, more spend just buys more silence. Related: cost per lead vs cost per booked job, HVAC Local Services Ads, and AC not cooling ads.

Joey’s shop Meta proof (customers, not vanity CPL): 31 customers from ~$1,800 and 25 from ~$700. Those are my shop results — not a promise for yours. Steal the habit of counting booked work.

FAQ

What is missed-call text-back for HVAC?
When a call to your shop is missed, an automatic text goes out so the homeowner knows you saw it — then a human follows up to book. It’s the cheapest way to stop paid leads from walking to the next company on the list.
Do I need fancy software?
You need a reliable trigger from your phone system or CRM and a text that a real person owns. Fancy stacks help; discipline matters more.
Is this the same as blasting SMS offers?
No. Missed-call text-back is a response to someone who already tried to reach you. Permissioned reactivation is a different play — see HVAC SMS marketing.
Should I fix this before buying more Google or Meta ads?
Yes. I will not tell you to scale spend into a black hole. Fix the leak, then buy intentional traffic.
Will Lead Junkie guarantee answer times?
No. We’ll pressure-test your after-hours path and whether ads should run yet. No fake SLA charts.
